Benefits & Allowance
Overview of employee benefits, allowance management, and company asset tracking in TransportechAI.
The Benefits & Allowance module provides tools for administering employee compensation beyond base salary. This includes managing benefit programs, configuring and assigning recurring allowances, and tracking company assets issued to employees.

Purpose
Competitive compensation extends beyond salary. Fleet management companies need to manage a variety of non-salary compensation elements to attract and retain talent:
- Health insurance and other benefit programs
- Transportation, housing, and meal allowances
- Company-issued equipment such as phones, laptops, and uniforms
- Vehicle-related benefits for drivers
The Benefits & Allowance module centralizes all of these into a single management interface.
Module Structure
The Benefits & Allowance section contains three sub-pages:
| Sub-Page | Description |
|---|---|
| Benefits | Manage employee benefit programs such as health insurance, life insurance, and wellness programs |
| Allowances | Configure and assign recurring allowances (transportation, housing, meals, etc.) |
| Assets | Track company-owned equipment and items assigned to employees |
How Benefits & Allowance Works
Benefits
Benefits are typically employer-provided programs that cover specific employee needs. In TransportechAI, you define the benefit types available in your organization and then enroll eligible employees. Benefits can be fully employer-paid, employee-paid, or co-paid.
Allowances
Allowances are fixed monetary amounts paid to employees on a recurring basis (usually monthly) as part of their compensation package. Each allowance type is configured with its amount and eligibility rules, then assigned to individual employees or groups.
Assets
Assets are physical items owned by the company and issued to employees for work purposes. The system tracks which assets are assigned to whom, their condition, and their return status.
Integration with Other Modules
| Module | Integration |
|---|---|
| Payroll | Active allowances are automatically included in payroll calculations each pay cycle |
| Finance | Benefit costs and allowance expenditures are reflected in financial reports |
| Employee Records | Benefit enrollments, allowance assignments, and asset assignments are linked to employee profiles |
Allowances assigned through this module are automatically included in the next payroll run. Ensure allowance assignments are up to date before processing payroll to avoid discrepancies.
Quick Reference
| Element | Examples | Payment |
|---|---|---|
| Benefits | Health insurance, dental, life insurance, gym membership | Employer/employee contribution (varies) |
| Allowances | Transportation, housing, phone, meals, fuel | Fixed monthly amount added to salary |
| Assets | Laptop, phone, uniform, vehicle key, ID badge | Company property -- no direct payment |
When an employee leaves the organization, ensure all company assets are returned and all active allowances and benefit enrollments are terminated. Use the offboarding checklist in conjunction with this module to avoid ongoing costs for former employees.
